How An-Nur Mosque Transformed Asset Management with AssetRun

Introduction

At An-Nur Mosque in Singapore, a lot happens behind the scenes to keep everything running smoothly—daily prayers, community events, and managing resources for hundreds of congregants. With over 500 assets, keeping track of assets ranging from TVs and laptops to simpler items like foldable tables wasn’t easy.

For years, the team relied on Excel sheets to manage their assets. While this worked to some extent, it often led to frustration, given the challenge of keeping more than 500 assets organized. That’s when the mosque decided it was time for a change.

The Challenges

The mosque’s team faced a few key issues:
  • Too Many Assets, Not Enough Organization: Managing over 500 assets in Excel had become overwhelming.
  • Maintenance Deadlines: Important equipment, like air conditioners, sometimes risked delayed servicing because there was no reminder system.
  • Inventory Struggles: They needed an efficient way to keep track of both consumables (like plastic cutlery) and non-consumables (like chairs).
  • Data Security Concerns: Since multiple staff members were updating the Excel sheet, mistakes and accidental changes were a concern.

It was clear that the team needed a system that was simple to use but could handle all these complexities.

The Solution

When we at AssetRun met with the team at An-Nur Mosque, we started by understanding their needs and pain points. Together, we came up with a solution that worked for them.
  • Adding Maintenance Reminders: One of their concerns was meeting maintenance deadlines. So, we introduced an email reminder system that alerts the team 7 days before an asset needs servicing. This simple addition has made it much easier for them to stay on top of upkeep for critical equipment.
  • Creating an Inventory Management Module: To handle their inventory items better, we worked with the mosque to design a module specifically for their needs. Now, they can easily track both consumables (like cleaning supplies and plastic cutlery) and non-consumables (like chairs), making reordering and usage tracking a breeze.
  • Role-Based Access for the Team: Since multiple staff members needed access to the system, we enabled AssetRun’s user roles feature. This allowed the team to set permissions—some users could view data, others could edit, and certain sensitive areas were restricted altogether. This helped protect the integrity of their records.
  • Easy QR Code Printing: We also made it simple for them to label and track their assets by letting them print QR code tags directly from their office printer.
  • Comprehensive Reporting: To help the mosque gain deeper insights into their assets, we added several reporting features. They can now generate detailed reports, including report by status, which helps identify assets that are active, archived, or require maintenance, and report by location, which allows them to track where assets are located within the mosque. These insights enable better decision-making and resource allocation.
